Jetvia is seeking an experienced Trip Support Scheduler & Concierge to support our private flight clients and members. This role is ideal for someone who has strong aviation knowledge, communicates with clarity and professionalism, and takes pride in creating seamless, personalized travel experiences for discerning travelers.
Key Responsibilities
- Coordinate and schedule private aviation trips in collaboration with dispatch and operations teams
- Communicate accurate, timely trip details to clients, and internal teams; mitigate problems and solutions in a calm & professional manner
- Manage end-to-end trip logistics, including catering, ground transportation, and aircraft positioning
- Prepare and review flight cost estimates and trip details. Adjust invoices as necessary once trip is complete and advice in a timely manner
- Ensure all standard operating procedures and checklists are performed accurately; identify any processes that may require improvement
- Create and deliver detailed passenger itineraries and trip briefs; recognize potential issues with weather, airports NOTAMS for future flights and provide solutions for a successful mission
- Proactively monitor flights (pre-trip, during, and post-trip) to ensure seamless execution and resolve issues in real time
- Support onboarding of new clients and members, delivering a high-touch, concierge-level experience
- Provide in-person client support pre-flight when available
- Assist with account support, including client retention, relationship management, and member experience
- Represent Jetvia at events and support brand initiatives, including social media
- Maintain strict confidentiality of all client and operational information
- Assist in optimizing the aircraft schedule to reduce re-positioning costs
Qualifications
- Professional, articulate, and client-focused with a concierge mindset
- Strong written and verbal communication skills
- Highly organized with exceptional attention to detail
- Ability to manage multiple priorities in a fast-paced, time-sensitive environment
- Experience coordinating across teams (sales, operations, client services)
- Proficient in Microsoft Office; ability to learn aviation scheduling platforms (e.g., JetInsight)
- Preferred: Experience in private aviation, private jet charter, luxury travel, or hospitality
- Knowledge of FAA regulations or private flight operations is a plus
- Background in dispatch, operations, logistics, or trip coordination is highly valued

Education
- High school diploma or equivalent required
- Bachelor’s degree in Aviation, Business, or related field preferred
- Pilot’s license (optional)
Schedule & Location
- 8–10 hour shifts; flexible schedule including evenings, weekends, and holidays
- Some travel required
- Primary location: DAL, with pre-approved remote flexibility
